Who We Are
Watchful Bookkeeping LLC is a Colorado limited liability company owned and operated by Ron Auer. This policy describes how we handle information associated with our marketing website, watchfulbookkeeping.com, and this site’s hosted preview. It does not replace privacy or confidentiality provisions in a client engagement agreement.
Information You Provide
If you contact us by email, we receive your email address, message, and any information you choose to include. This may include your name, business name, phone number, and service needs.
When you submit the consultation form, we save your name, business name, email address, optional phone number, selected service, message, and submission date in our website database. Ron can review these requests through a restricted submissions page. We use this information to respond to your inquiry and discuss services. Appointments can be booked through Google Calendar. When you use the booking pop-up or scheduling link, Google processes the information you enter under its own privacy policy. Booking details are made available to Ron to manage the appointment. A calendar booking is separate from a request submitted through this Website’s contact form.
Please do not send passwords, Social Security numbers, full bank or credit card numbers, tax returns, or sensitive financial records through a general inquiry. We will discuss an appropriate sharing method if records are needed.
Technical Information and Website Providers
Our hosting providers may process your IP address, browser and device information, pages requested, visit times, and security logs to operate the Website. Their own terms and privacy policies apply to that processing.
The current preview is hosted through ChatGPT Sites. Access to the private preview may require a ChatGPT account. The hosting platform’s own authentication and data practices are governed by its policies.
This Website loads fonts from Google Fonts. Your browser contacts Google to retrieve them, which can disclose technical information, including your IP address and request details. Google’s privacy policy describes its handling of that information.
Cookies, Analytics, and Tracking
The Website’s own code does not currently set cookies, store visitor data in browser storage, or include advertising pixels or an analytics integration. Hosting or authentication providers may use cookies or similar technologies for their own functionality.
You can manage cookies through your browser settings, although blocking some cookies may affect hosting-platform authentication or access. We will reassess this policy and any required privacy choices before adding analytics, advertising, or other tracking features.
How We Use Inquiry Information
We use information you send to respond to questions, discuss service needs, prepare proposals, and maintain relevant business communications. We may also use it to protect our systems, address disputes, and meet legal obligations.
An inquiry does not automatically subscribe you to a marketing newsletter. There is currently no newsletter signup on this Website.
Sharing Information
We do not sell inquiry information or provide it to others for their independent marketing. Service providers supporting email, hosting, and business communications may process information as needed to provide those services. We use Resend to email Ron a notification with the details of a contact-form request. Resend processes that information to deliver the email.
We may disclose information when required by applicable law or valid legal process, or when reasonably necessary to protect rights, safety, or systems. We do not publish inquiries or use submitted information as a testimonial without permission.
Client Records
This Website accepts consultation requests but is not a client document portal. If you engage us, bookkeeping records may be handled through QuickBooks Online and other agreed tools. The engagement agreement and onboarding information will address the handling of those records and any additional privacy information relevant to the service.
Retention and Security
We keep business communications as needed to respond to inquiries, provide services, maintain records, meet legal requirements, and resolve disputes. How long we keep a record depends on its purpose.
No internet transmission or storage system can be guaranteed completely secure. Please limit the information in your initial inquiry to what is needed to discuss your service needs.
Privacy Requests
You may contact ron@watchfulbookkeeping.com to ask about personal information you have provided, request a correction, or request deletion. We will review your request and respond as required by applicable law. We may need to verify identity before disclosing or changing information, and some records may need to be retained for legal or business purposes.
Additional rights may apply depending on your location and whether a particular privacy law applies to our activities. Nothing in this policy limits rights that applicable law provides. Requests concerning a hosting or other provider’s own account data should also be directed to that provider.

If you follow a link to another website, that provider’s privacy policy governs its collection and use of information. Review the relevant policy before submitting information there.
Children’s Information
Our services and Website are intended for adult business owners and representatives. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, please contact us so we can investigate and take appropriate steps.
